Terms of Service

This page provides Sancelk’s general public terms and data practices. Clinic-specific commercial scope, pricing and responsibilities may also be set out in a signed client agreement.

1. Scope of these terms

These Terms describe the general conditions for using the Sancelk website and Sancelk reception services. A clinic that starts a pilot or paid service may also receive a Client Service Agreement, quote or scope of work. If a signed client agreement conflicts with these general website terms, the signed client agreement governs the clinic-specific commercial relationship to the extent of that conflict.

2. Service description

Sancelk provides configurable AI-assisted reception tools for administrative tasks such as answering approved clinic questions, checking working hours and appointment availability, creating appointments, rescheduling, cancellations and human handoff. Available functions depend on the clinic's selected plan, integrations and onboarding configuration.

3. Plans, pilot and pricing

Public pricing may include Sancelk Core and Sancelk Pro plans, but the final price and included setup for a clinic are confirmed in the applicable quote or client agreement. Where offered, the 7-day pilot begins only after setup, testing and actual activation of the clinic environment. Setup days before activation do not count toward the pilot period.

4. Billing, cancellation and refunds

Paid subscriptions are billed according to the billing cycle stated in the clinic's agreement or invoice. A client may request cancellation so that the subscription does not renew after the current paid billing period. Unless applicable law requires otherwise or a written agreement states otherwise, amounts already paid for the current billing period are not refundable. Setup fees are non-refundable after the agreed setup work has been performed.

5. Clinic responsibilities

Clinics are responsible for providing accurate and current information about services, prices, doctors, schedules, appointment policies and other clinic facts used by Sancelk. Clinics must review the configured information before production use, notify Sancelk of material changes, protect their own account access, and maintain appropriate staff coverage for cases that require human handoff.

6. Medical limitation

Sancelk is designed for administrative reception support. It is not a medical professional, medical device, emergency service or substitute for clinical judgement. The service should not independently diagnose a condition, prescribe treatment or make medical decisions. Clinics remain responsible for medical care, clinical communications and decisions made by their professionals.

7. AI limitations and human handoff

AI systems can make mistakes or misunderstand a request. Sancelk uses configuration, clinic-approved knowledge, testing and human handoff to reduce risk, but does not guarantee that every automated output will be error-free. Requests that require human judgement, exceptions, unavailable clinic information or direct staff assistance may be transferred to clinic staff according to the configured workflow.

8. Third-party services and availability

Sancelk may depend on third-party messaging, calendar, hosting, database, email, form-delivery or AI services. Service availability can therefore be affected by outages, limits, policy changes or failures outside Sancelk's reasonable control. Sancelk will make reasonable efforts to maintain and troubleshoot configured services but does not guarantee uninterrupted availability of third-party platforms.

9. Data, confidentiality and privacy

Each party must handle patient, clinic, credential and business information with appropriate confidentiality. Sancelk processes information needed to provide the configured service and aims to minimize unnecessary data collection. More information is available in the Privacy Policy and, where applicable, the clinic's Client Service Agreement or data-processing terms.

10. Intellectual property and customization

Unless a written agreement states otherwise, Sancelk retains ownership of its reusable software, automation logic, templates, workflows, methods and general implementation know-how. Clinics retain their rights in their own business information, branding and patient data. Custom development outside the agreed scope may require a separate quote.

11. Acceptable use

Users must not use Sancelk to violate applicable law, gain unauthorized access to systems, misuse another person's data, interfere with service operation, or represent automated administrative outputs as independent medical diagnosis or treatment. Sancelk may suspend access where necessary to address material misuse, security risk or unpaid amounts under an applicable client agreement.

12. Changes and contact

These Terms may be updated as the service evolves. Material commercial changes for an active clinic will be handled according to its client agreement where applicable. Questions about these Terms can be sent to info@sancelk.com.
