1. About this policy

Sancelk provides AI-powered reception and automation services for clinics. This Privacy Policy explains how information may be processed when a clinic uses Sancelk, when a patient interacts with a Sancelk-powered reception workflow, or when someone contacts Sancelk through this website. The applicable client agreement identifies the service provider and the clinic-specific scope of service.

2. Information we may process

Depending on the clinic configuration, Sancelk may process clinic contact details, staff contact details, patient names and contact information, appointment details, requested services, relevant conversation content, and technical or operational logs needed to run, secure and troubleshoot the service. Sancelk is designed to limit collection to information reasonably necessary for administrative reception tasks.

3. How information is used

Information may be used to provide the configured reception service, answer clinic-related administrative questions, check appointment availability, create, reschedule or cancel appointments, perform human handoff, provide support, maintain service reliability and security, and meet applicable legal or regulatory obligations.

4. Health and sensitive information

Patient conversations can sometimes reveal health-related information. Sancelk is intended for administrative reception tasks and should not be used as a replacement for a medical record system. Clinics should avoid sending or requesting unnecessary medical detail through the service. Medical diagnosis, treatment decisions and independent medical advice remain outside the intended scope of Sancelk.

5. Service providers and integrations

Sancelk may rely on third-party infrastructure and integrations such as hosting providers, messaging platforms, calendar services, databases and AI model providers to deliver the configured service. The exact providers and data flows can vary by clinic configuration. Sancelk aims to share only the information reasonably needed for the relevant service function and to use appropriate account and access controls.

6. Data retention and deletion

Information is retained only for as long as reasonably necessary to provide the service, maintain security and operational records, meet contractual requirements, or comply with applicable law. Retention can differ by data type and integration. Clinic-specific retention or deletion requirements may also be defined in the applicable client agreement or onboarding configuration.

7. Data rights and clinic requests

Where applicable, individuals may have rights relating to access, correction, deletion, objection, restriction or withdrawal of consent. Because the clinic is often the primary relationship holder for patient information, Sancelk may coordinate with the clinic when responding to a valid request that relates to a clinic-managed workflow.

8. Security

Sancelk uses reasonable technical and organizational safeguards appropriate to the service, which may include access restriction, credential protection, client-data separation where appropriate, backups and operational monitoring. No online service can guarantee absolute security, and clinics are also responsible for protecting their own accounts, devices and access credentials.

9. International processing

Some technology providers used to deliver the service may process information outside Jordan. Where cross-border processing applies, Sancelk will consider the configuration, provider terms and applicable legal requirements when setting up a production client environment.

10. Website demo requests

When you submit the demo request form, the information you enter is used to respond to your enquiry and evaluate whether Sancelk may be suitable for your clinic. The website currently uses a third-party form-delivery service to forward these submissions to Sancelk by email.

11. Changes to this policy

This policy may be updated as Sancelk changes its services, integrations or data practices, or as legal requirements change. The latest version will be posted on this page with an updated date.
